Terms of use
Version of 24 October 2026
These terms are the agreement between Kore and the company that uses it. They cover the Kore app, on phone and computer, and the service behind it. Because Kore handles your workers’ and clients’ data on your behalf, they also contain the data processing agreement the GDPR requires (section 7).
Kore is run by Salvatore Cartillone, based in Belgium. Contact: contact@getkore.be.
1. Who these terms are for
Kore is made for companies and self-employed professionals, not for consumers. By creating a company account or moving to a paid plan, you confirm that you act for a business and that you may bind it to these terms.
The people you invite, such as managers and workers, use Kore under your company’s account. These terms are between Kore and your company.
2. Your account
- You keep your sign-in details safe, and make sure the people you invite do too.
- You decide who gets access and what each person may see and do. You remain responsible for what is done under your company’s account.
- You make sure the information you enter is correct: hours, wages, sites, clients and VAT details.
- If you think someone has misused your account, tell us straight away at contact@getkore.be.
3. What Kore does, and while it is being tested
Kore helps you record working time, approve hours, export them for payroll, plan your sites, manage your team, keep track of your clients and make quotes. What each plan includes is described on the features page and the pricing page.
Kore is still being tested. Until launch, test versions may change or stop working, without any commitment on availability. We still take care of your data during testing.
We keep improving Kore and may add, change or remove features. Clocking in, approving hours and exporting them stay in every plan.
4. Plans, prices and payment
- Free stays free, within its limits.
- Paid plans are billed per company, per month or per year, at the prices on the pricing page. Prices are excluding VAT.
- A paid plan starts once we have agreed it with you by email; card payment in the app comes later. You receive an invoice and pay it within the term stated on it.
- If an invoice is still unpaid after a reminder, we may move your company back to Free, or pause its account, until it is paid.
- We announce price changes at least 30 days in advance. They apply from your next billing period; a year you have already paid keeps its price.
- You can move to another plan at any time. If you move to a plan that allows fewer people than you have, the extra accounts are paused until you make room or move back up.
5. Your data
Everything your company puts into Kore stays yours. You can export your hours as PDF or CSV at any time.
If you close your account, we delete your company’s data within 90 days, unless the law requires us to keep part of it. Export what you need before you close: as an employer you must keep payroll and working-time records yourself, and once the data is deleted we cannot bring it back.
We look after your data with care, but we do not promise that it can be restored after a loss. Export what you must keep on a regular basis.
6. What stays your responsibility
Kore is a tool. It does not replace your social secretariat, your accountant or a lawyer, and it does not give legal, tax or payroll advice.
- You remain responsible for your obligations as an employer, such as recording working time, paying wages and keeping social documents.
- You remain responsible for your quotes and their VAT. Kore checks the conditions for 6% VAT based on what you enter, but the choice of rate is yours.
- You need a lawful reason to enter personal data about your workers and clients, and you inform them about it.
7. Data processing agreement (GDPR article 28)
For the personal data your company puts into Kore, your company is the controller and Kore is the processor. This section is the agreement between us that article 28 of the GDPR requires.
- Subject, purpose and duration: Kore processes the data needed to provide the app to your company — recording and approving working time, payroll exports, planning, team management, clients and quotes — for as long as your account is open.
- Whose data: the people you invite (owners, managers, workers), and your clients and their contact persons.
- Which data: names, email addresses, phone numbers, roles and permissions, working times and breaks, sites and planning, hourly wages, pay totals and advances, corrections and their reasons, language preferences, notification tokens, and your clients’ details and quotes.
- Only on your instructions: we process the data only to provide Kore to you, as you use it and as these terms describe. If we believe an instruction breaks the law, we tell you.
- Confidentiality: anyone who works on Kore for us is bound to keep the data confidential.
- Security: data is encrypted in transit and at rest; each company can only reach its own data, which the database itself enforces; and every change to hours is recorded with who made it and when.
- Sub-processors: you allow us to use Supabase (database and sign-in, EU – Frankfurt), Resend (emails, EU) and Google Firebase (push notifications, which may involve transfers outside the EU under the EU–US Data Privacy Framework or the European Commission’s standard contractual clauses). We tell you at least 30 days before we add or replace one. If you object for a good reason and we cannot solve it, you can stop using Kore and we refund any period you paid in advance.
- Helping you: we help you answer requests from your workers and clients (access, correction, deletion) and, where needed, with impact assessments and questions from the data protection authority.
- Data breaches: if a breach affects your data, we tell you without undue delay, and where possible within 48 hours, with what we know.
- At the end: when your account closes, we delete the data within 90 days, after you have had the chance to export it, unless the law requires us to keep it.
- Proof: we give you the information you need to show that this agreement is respected. Audits are possible by appointment, with reasonable notice, at your own cost.
8. Fair use
- Use Kore only for your company’s lawful activities.
- Do not try to reach other companies’ data, get around the security, overload the service or copy the software.
- Do not use Kore for data it is not made for, such as health data or payment card numbers.
9. Availability and help
We do our best to keep Kore running and fast, but we cannot promise it will never be interrupted, for example during maintenance or a problem at one of our providers. For help, write to contact@getkore.be.
10. Liability
We work hard to make Kore reliable, but we provide it as it is.
- We are not liable for indirect damage, such as lost profit, lost revenue, claims from third parties, or the loss of data you had not exported.
- Our total liability is limited to what your company paid us in the 12 months before the damage. On the Free plan, it is limited to €100.
- None of this limits liability where the law does not allow it, such as for intent or fraud.
11. Stopping
You can stop at any time by closing your account: write to contact@getkore.be, and see how deletion works. A paid plan runs until the end of the period you paid; we do not refund the rest, except in the cases these terms mention.
We may pause or close an account that breaks these terms, that stays unpaid after a reminder, or that puts the service or other users at risk. If we ever stop Kore altogether, we tell you at least 90 days in advance so you can export your data, and we refund any period you paid beyond that date.
12. Kore’s software
Kore, its software and its design belong to us. While your account is open, your company has the right to use Kore for its own activities. Ideas you send us to improve Kore may be used freely.
13. Changes to these terms
We may update these terms. If a change matters for you, we tell you at least 30 days in advance, by email or in the app. If you do not agree, you can stop before it applies, and we refund any period you paid in advance.
14. Law, disputes and languages
Belgian law applies. If we cannot settle a dispute together, it goes to the courts of Brussels. These terms exist in English, French and Dutch; all three have the same value.
